Microsoft Teams & SharePoint Implementation

Key Challenges

Client is a large-scale healthcare organization with a presence in multiple locations across the United States. The organization provides a range of medical services, including long-term care, rehabilitation, and home health services, and has a workforce of over 5,000 employees.

As the organization continued to expand, the need for a centralized communication and collaboration platform became evident. With the advent of remote work, they realized the need to modernize their communication and collaboration tools to stay competitive in the healthcare industry.

They faced several challenges with their existing communication and collaboration tools. The organization’s employees were using disparate platforms to communicate and collaborate, leading to inefficiencies, delays, and duplication of efforts. In addition, their document management processes were largely manual, making it difficult for employees to find the information they needed quickly.

With the rise of remote work, they realize that they need a centralized platform that would enable their employees to collaborate effectively, share files securely, and streamline workflows. Furthermore, as a healthcare organization, data security and privacy were paramount concerns for Client, which required robust security protocols to protect patient data.

The CRES Solution

To address these challenges, CRES worked with the Client to implement Microsoft Teams and SharePoint. The project was broken down into several tasks:

  • Define their Organizational Structure including departments, sub-departments, and specialized functions
  • Create Microsoft 365 Groups, Teams Channels, and SharePoint site
  • Client Review and Signoff on Teams Channels and SP site Taxonomy
  • Set up Security Protocols
  • Perform Staff Training
  • Document Migration by Users

This implementation led to several benefits for Client, including:

  • Improved collaboration and communication between departments and teams
  • Enhanced document management and storage, which made it easier for employees to find the information they needed
  • Increased productivity and efficiency, thanks to streamlined workflows
  • A centralized platform that allowed employees to work from anywhere and at any time
  • Tighter security protocols that protected sensitive information

In addition to the above benefits, it also helped them stay compliant with HIPAA regulations, ensuring that patient data was secure and private. The platform’s robust security features and encryption protocols provided peace of mind to Client’s leadership team, knowing that sensitive data was being protected.
